Hi, I'm Clare Fergusson

With over 20 years of experience as a Personal and Executive Assistant, I’ve had the privilege of supporting C-suite executives and business leaders in dynamic, high-pressure environments.

My career began in London, where I honed my skills as Executive Assistant to the CEO of a global law firm. Those years taught me the value of precision, confidentiality, and the quiet art of anticipating needs before they arise.

In 2022, I founded Level Up Virtual Ltd, a boutique virtual assistance agency that continues to support a small portfolio of clients.  These days, my focus is on providing personal, high-level support as an Executive Virtual Assistant and Online Business Manager, working one-to-one or with small teams to bring structure, clarity, and consistency to the everyday running of their business.

My Professional Journey

Over the course of my career, I’ve supported leaders across a wide range of industries - from law and education to tech, real estate, and professional services. My focus has always been the same: bringing clarity, structure, and calm efficiency to complex environments, so that others can do their best work.

My early career was spent in London, where I worked for Herbert Smith Freehills - one of the world’s leading law firms - for 13 years, eventually serving as Executive Assistant to the CEO. During my time there, in addition to my EA role, I was seconded to plan, implement and lead the support team for the international rollout of a major software project affecting all aspects of the firm’s financial practice management system. I coordinated between global offices, IT, and senior leadership to ensure a seamless implementation. Those years honed my ability to manage complexity, anticipate needs, and keep priorities aligned under pressure - while maintaining discretion, professionalism, and absolute attention to detail.

Since launching Level Up Virtual Ltd in 2022, I’ve partnered with clients including a US-based technology startup, an international franchise group, and independent business owners - providing everything from high-level executive support and operational management to hands-on project coordination. Each engagement has strengthened my ability to quickly understand new industries, adapt to new systems, and identify practical ways to make operations smoother and more sustainable.

I specialise in complex calendar management, multi-time-zone scheduling, and high-volume inbox support - keeping communication clear, commitments tracked, and leaders free to focus on what matters most. My work has also included streamlining HR and payroll systems, leading data-cleanup initiatives, managing customer accounts and renewals, organising company-wide events, and supporting marketing functions such as social-media scheduling (via Hootsuite) and newsletter creation through email-marketing platforms. Alongside this, I recommend, implement, and optimise the systems and processes that keep businesses running smoothly and teams performing at their best.

Throughout every role I’ve held, my approach has been grounded in partnership - combining precision and process with genuine care for the people I work with. Whether I’m managing executive priorities, refining workflows, or simply creating space for others to think and lead, my goal is always the same: to make life a little easier and business a lot more effective.

Client Partnerships

US Technology Startup

I’ve provided executive support to the CEO and leadership team, including multi-time-zone calendar management, inbox oversight, payroll and HR system administration, and coordination of company-wide events. I’ve worked confidently across a wide range of tools and platforms - from CRM and project-management systems to payroll and billing software - ensuring processes run smoothly and data remains accurate.
International Franchise Group
I’ve overseen daily operations and communications for a UK master franchise network, supporting the franchise owner and more than 20 individual franchisees. My work has included managing inboxes and scheduling, coordinating internal communications, and ensuring the smooth flow of information across the group. I also handled marketing activities - creating and scheduling social-media posts via Hootsuite and compiling newsletters using an email-marketing platform - and introduced more streamlined systems for managing recurring admin tasks.
Independent and Specialist Clients
I’ve supported independent consultants, creatives, and neurodiverse entrepreneurs - offering structure, calm, and compassionate accountability to help them stay focused and confident in their work. My support has included document management, CRM updates, research, travel coordination, and client correspondence, often introducing new tools and workflows that save time and reduce friction. I’m known for quickly learning, recommending, and implementing new systems that make recurring tasks simpler, faster, and more consistent.

I love what I do because it’s about enabling others to do their best work.  There’s nothing more rewarding than bringing calm to the chaos and partnering with visionary leaders to turn ideas into reality.

Every client is unique, and so are their needs. That’s why I tailor my approach to you - your business, your goals, and the way you work.  One-size-fits-all solutions don’t create real results.  I’m here to provide the kind of personalised support that makes the biggest difference - giving you exactly what you need to thrive.

When you work with me, you get more than a task-taker - you gain a calm, capable partner who’s genuinely invested in your success. My clients know they can rely on me to anticipate needs, manage the details, and keep things moving - even when life and business get busy.

A Little About Me ... Beyond the Office

I live in Norfolk with my son and have a long-standing passion for creativity - especially needlecrafts and textile arts. Before beginning my career, I studied at the Royal School of Needlework at Hampton Court Palace, where I developed an appreciation for the artistry, precision, and meditative nature of this craft.

For me, needlework is more than a hobby; it’s a form of meditation. The repetitive, methodical motions bring calm and clarity, creating the mental space for fresh ideas and thoughtful solutions to emerge. This balance of focus and creativity is something I carry into my work every day - helping me approach challenges with care, insight, and precision.
